Per Course Appointment Letter Process
The per course appointment letter process occurs within the per course BearPAF application.
Each course assigned to a per course instructor in the BearPAF system will generate
an appointment letter for the assigned per course instructor. Each Appointment Letter
must be accepted by the per course instructor online within the BearPAF workflow for
the BearPAF to be applied for payment.
An online appointment letter is created when the dean approves the BearPAF.
Email notification
An email is sent to the per course faculty member with a link to MyMissouristate, instructions to locate the Workflow tab and the appointment letter in the Workflow
tab, and to accept or reject or reject the appointment.
If the per course appointee is new to the university or no longer has an active university
email account, the email will be sent to their primary email address, most likely
a personal email account. The email includes instructions on getting or reactivating
their computer access and email through the Computer Account Management System (CAMS).
Email reminders will be sent to the Per Course faculty member every 7 days if the
appointment letter hasn’t been accepted or declined.
Status
Initiators can see the status of per course BearPAFs and the status of the appointment
letter by the following:
- Looking the instructor up on Select Person (same function used to create the BearPAF)
under Employee Information – Active PAFs
- Pulling an Argos report to check the status of all BearPAFs they have initiated and
the associated appointment letters
No action taken
If a per course faculty member has not taken action on their appointment letter within
a reasonable period of time, please contact them just as you had in the past for unreturned
paper appointment letters.
Direct them to CAMS to create their computer access and email account. If they are not going to accept
the appointment, but don’t want to follow the online decline procedure, notify HRRecords@missouristate.edu.
Summary
It is essential that each per course instructor have an active email account and that
they check their university email at least weekly. Each course assigned will generate
its own appointment letter which must be accepted online. Resources on how to get
