Electronic W-2 Election
Electronic Form W-2 - Online at My Missouri State
Missouri State University is required by the IRS to furnish all employees with a Form W-2 for each calendar year to be used in completing the employees' annual tax returns. The Form W-2 details the employee's compensation and tax withholding amounts for the year.
Current Missouri State University employees may choose to receive their W-2 statements online through My Missouri State. Please read this entire notice and provide your consent if you wish to receive all future W-2 statements only in electronic format.
Benefits of receiving Form W-2 electronically
There are multiple benefits to receiving an electronic Form W-2:
- Online delivery provides access to the W-2 statement earlier than the traditional paper process.
- Online delivery eliminates the chance that the W-2 statement will get lost, stolen, misdirected or delayed during delivery.
- Duplicate copies of the W-2 can be printed by the employee at any time throughout the year.
- Access is available at the same easy-to-use secure web site at My Missouri State as all other self-service options and can be attained even if the employee is not presently at his/her residence, for example, if participating in a University foreign program.
- The electronic copy has the same information as the mailed copy and will remain on My Missouri State for at least 5 years.
- Natural resources are saved and employees are contributing to cost savings by not printing and mailing W-2 statements.
Disclosure notices
An employee who consents to receiving his/her Form W-2 online will not receive a paper copy of the W-2. An employee who has given their consent to receive their W-2 statement electronically will be able to access and print their current W-2 online prior to the mailing of paper W-2s. Your election will remain in effect for all future tax years unless revoked by you, you are no longer employed at Missouri State University, or this service is not supported in a future tax year.
All employees should be aware that the Form W-2, even when provided electronically, may need to be attached to their annual tax return. If the W-2 is provided electronically, the employee should print the W-2 and attach it to his/her tax return documents.
After you have elected to receive an electronic W-2 and wish to receive a paper W-2 mailed to your address on file, you can revoke your consent for future electronic W-2’s (until such time you decide to again consent to receive your W-2 electronically). If consent is withdrawn, it will only be effective for those W-2 statements not yet issued.
If you do not choose to receive your W-2 electronically, a paper W-2 will be mailed to your home address on file by January 31st of each year. Please verify your mailing address through the Employee Dashboard on My Missouri State. If your address has changed complete the Change of Address Form and submit to Human Resources. The address listed on file as of December 31st of each year will be the address that paper W-2’s will be mailed.
Requesting a duplicate W-2
It will no longer be necessary for current employees to request a duplicate of their W-2 statement. Access to Form W-2 will be available through My Missouri State as long as the employee is actively employed by the University. Employees who have separated from Missouri State University will have to request duplicate W-2 statements from the Payroll Office. Reprint requests will not be processed until the end of February.
NOTE: For security reasons, we cannot fax or email W-2s. They can be picked up in the Payroll Office with proper identification or they can be mailed via the U.S. Postal system to the address on record.
How do I sign up to receive my Form W-2 electronically in lieu of paper?
The IRS has approved the use of electronic W-2 statements; however, employees must provide their consent to receive their W-2 in electronic format in lieu of paper format. For this reason, if you wish to attain all future W-2 statements only in electronic format, follow the instructions given below:
- Log into My Missouri State.
- Enter your Login and password and select Log In.
- Locate the Time & Leave Resources card then select the Employee Dashboard. Expand the Taxes section then select Electronic Regulatory Consent.
- After reading the disclosure, select the checkbox under My Choice, and then select Submit.
- You will now see a statement towards the top of the consent page stating the Electronic W-2 consent was submitted successfully.
How do I access my Form W-2?
Once you consent to receiving your W-2 electronically, you may access it by completing the following steps:
- Log into My Missouri State.
- Enter your Login and password and select Log In.
- Locate the Time & Leave Resources card then select the Employee Dashboard. Expand the Taxes section and then W-2 Wage and Tax Statement.
- Choose the tax year for the corresponding W-2, then select Display.
- To print select the Print button in the upper-right hand corner. Select Help in the upper-middle of the page for information on how to print an approved format for different web browsers and additional information such as the explanation of information provided in the boxes on the W-2 statement.
How do I revoke my consent so I can receive paper Form W-2’s in the future?
- Log into My Missouri State.
- Enter your Login and password and select Log In.
- Locate the Time & Leave Resources card then select the Employee Dashboard. Expand the Taxes section then select Electronic Regulatory Consent.
- Uncheck the My Choice checkbox, then select Submit.
- You will now see a statement towards the top of the consent page stating the Electronic W-2 consent has been revoked.
