GENERAL FUNCTION

The Senior Buyer, Drago College Store, West Plains processes book adoptions, determines the number of textbooks to be purchased from publishers, wholesalers, and end-of-the-semester buyback operations and the mix of new and used textbooks to be purchased. The Senior Buyer prepares want lists and buyback lists, processes purchase orders and receiving for textbooks, reviews and adjusts the open-to-buy calculation and places the orders. They also provide customer service, processes return of damaged or incorrectly shipped books, resolves shortages and overages, prepares shelf tags, monitors expiring invoice returns, oversees the book return process, and initiates sending book adoption forms to faculty each semester. Purchases and maintains inventory control various goods for sale and determines the right amount of goods needed by checking turnover, present inventory, and open to buy amount. The Senior Buyer, Drago College Store, West Plains assists with general store security and daily operations. They also assist with processing departmental, vocational rehabilitation, veterans, athletics, residence assistants, Financial Aid, and Financial Services charges.

MINIMUM ACCEPTABLE QUALIFICATIONS

Education/Experience: At least forty-five hours of college credit and two years of buying and inventory control experience or an equivalent combination of education and experience are required.

Skills: an understanding of inventory control is required. Familiarity with computer applications such as word processing and spreadsheet applications are required. A commitment to working with diverse student and community populations is required. The ability to develop knowledge of, respect for, and skills to engage with those of other cultures or backgrounds is required.

Effort: This position occasionally moves boxes of books and supplies weighing up to fifty pounds.

ESSENTIAL DUTIES AND RESPONSIBILITIES

1. Assures that the college store has the correct textbooks in the correct quantities obtained in the most cost-effective manner by initiating the book adoption process with faculty, processing book adoptions, monitoring and preparing shelf tags, and compiling want lists and buyback lists. Also an appropriate supply of merchandise by purchasing and maintaining inventory control goods for sale.

2. Assumes responsibility for purchasing all academic textbooks and materials by utilizing open-to-buy figures, generating purchase orders, checking book availability with the publishers, processing pre-pay forms as needed, and working with the publisher’s and bookstore’s accounting departments to resolve discrepancies.

3. Helps to ensure the efficient management of textbook inventory by understanding publishers return policies, identifying damaged or incorrectly shipped books and shortages or overages, monitoring the expiring invoice report to determine the titles that have potential for return, verifying quantities to be returned, and obtaining return authorization.

4. Contributes to the overall efficiency of the Drago College Store’s daily operations through supervision of daily receipts, general store security, processing invoices, and processing departmental, vocational rehabilitation, veterans, athletics, residence assistants, Financial Aid, and Financial Services charges.

5. Assists in maintaining a profitable bookstore operation by pricing merchandise and markups.

6. Assures that shelves are stocked with in demand items in proper quantities by reviewing catalogs, evaluating new products, talking with vendors, checking enrollment figures as needed, and working with faculty and campus staff to determine needs for their classes or departments.

7.Supports the overall operation of the bookstore by participating in the annual storewide inventory, the end of semester textbook inventory, assisting with buyback periods, and shipping books to students.

8. Assists customers on a daily basis in providing customer service and sales floor and front-line counter service support.

9. Contributes to a work environment that encourages knowledge of, respect for, and development of skills to engage with those of other cultures or backgrounds.

10.Maintains competency in current skills and develops new skills as the job requires by attending training and/or courses as required by the Bookstore Manager/MSU.

11. Contributes to the success of the Drago College Store by performing other duties as required.

The Senior Buyer, Drago College Store, West Plains is supervised by the Bookstore Manager and regularly supervises student workers.

Factor 4: Guidelines

Level 3.0 - 220 Points: The work involves carrying out a group of procedures using the general methods and desired results indicated by the supervisor. Typically, standard operating procedures, handbooks, and/or reference manuals exist for most procedures, but the incumbent must select from the most appropriate of several guidelines, and make minor adjustments to methods. The incumbent uses judgment in interpreting and adapting guidelines such as University policies, regulations, precedents, and work directions for application to specific cases or problems. The incumbent makes decisions regarding most deviations from the guidelines but major deviations from guidelines are referred to the supervisor. Assignments are related in function and objective, but processes, procedures, or software varies from one assignment to another.
