GENERAL FUNCTION

The Bookstore Shipping and Receiving Supervisor is responsible for coordinating, supervising, and carrying all receiving and shipping activities, order fulfillment, local deliveries, and warehouse and motor pool maintenance of the University Bookstore.  

MINIMUM ACCEPTABLE QUALIFICATIONS

Education: A high school diploma or the equivalent is required; some college is preferred.

Experience: Two years successful experience in stores keeping or related work is required, preferably in a retail environment.  Experience processing invoices and updating prices is required.  Experience with an electronic point of sale, inventory, and/or shipping system is required.

Skills: Supervisory skills are required.  Computer literacy is required. The ability to develop knowledge of, respect for, and skills to engage with those of other cultures or backgrounds is required.

Effort: This position supervises the shipping and receiving activities of the Bookstore
and loads, unloads, unpacks, and moves large and heavy cartons of books and
merchandise on a daily basis; items moved can weigh more than fifty pounds.

Other: Occasional evenings and weekend work is required.

ESSENTIAL DUTIES AND RESPONSIBILITIES

1. Coordinates and manages the shipping, receiving, order fulfillment, and warehousing activities of the University Bookstore.

2. Ensures an efficient and effective receiving operation by developing and enforcing procedures to receive, unpack, and enter into the inventory-control system all shipments of books, supplies, and other Bookstore merchandise.

3. Assures the accuracy of orders by developing and utilizing procedures for monitoring
the condition, quantity, and pricing of items during the receiving and processing of
shipments and reports discrepancies or other problems to the buyer and the Bookstore
accounting department so they can correct and resolve the issue.

4. Prices books and merchandise according to buyer instructions, prepares these items
for display or storage, and assists with restocking merchandise when stockers are not
available.

5. Ensures a smooth shipping process by establishing and implementing procedures for preparing, processing, and facilitating all outgoing shipments, assisting with the packing of books and other merchandise, and maintaining electronic records in the inventory control system and the shipping system.

6. Processes and charges outgoing shipments on behalf of University departments.

7. Oversees, processes, and fulfills online textbook and merchandise orders to the highest standards of efficiency, timeliness, accuracy, and customer satisfaction and organizes completed orders for in-store pickup or prepares them for shipment to customers.

8. Oversees, prioritizes, and manages all warehouse operations, including organizing and managing backstock, store fixtures, and operational supplies.

9. Oversees maintenance and care of the Bookstore motor pool and coordinates or performs on- or off-campus deliveries requiring a vehicle.

10. Hires, trains, supervises, and schedules student and part-time employees.

11. Supervises staff in safe operating procedures and maintains the orderliness and cleanliness of the receiving storeroom and loading dock areas.

12. Contributes to a work environment that encourages knowledge of, respect for, and development of skills to engage with those of other cultures or backgrounds.

13. Contributes to the overall success of the University Bookstore by performing other essential duties and responsibilities as assigned.

SUPERVISION

The Bookstore Shipping and Receiving Supervisor is supervised by the Bookstore Director and supervises part-time, temporary, and student employees working in the shipping and receiving area.

Factor 1: Educational Requirements of the Job

Level 2.0 - 100 Points: The job requires a high school diploma or equivalent.

Factor 2: Skill Requirements - Craft and Trade Skills

Level 3.0 - 550 Points: General mechanical or technical aptitude and specific knowledge and experience in a skill, craft, or trade. The ability to perform standard procedures, operations, and/or operate specific equipment, that is required through at least two years of experience and previous training is required.

Factor 3: Managerial Responsibility

Level 3.0 - 150 Points: Some supervision and training of student and part-time workers may be required where the nature of supervision is largely confined to scheduling work and assigning tasks. Supervision at this level may also involve directing the work assignments of one or more permanent, full-time employees, but supervision typically does not include a full range of supervisory responsibilities, and supervisory duties typically do not consume a large portion of the work day. Characteristic of this level would be employees who direct student workers, or work team leaders who act as working supervisors. Responsibilities at this level may include tracking budgeted spending, limited purchasing authority, and tracking inventory.

Factor 4: Guidelines

Level 3.0 - 90 Points: Procedures and standards exist, but considerable latitude in applying procedures and selecting a sequence of activities must be exercised. The employee uses judgment in interpreting and adapting guidelines such as agency policies, regulations, precedents, and work directions for application to specific cases or problems. The employee analyzes results and recommends changes.

Factor 5: Contacts

Level 4.0 - 175 Points: The purpose is to coordinate activities involving employees, students, and/or the general public. At this level, contacts involve considerable interpersonal skill involving cooperation and coordination and may involve the organization of activities of programs requiring working relationships among several parties. While contacts may require some level of persuasion, potential for conflicts and disputes are relatively minor.

Factor 6: Work Environment

Level 3.0 - 70 Points: The work area involves moderate discomfort and/or risk such as operating heavy machinery or dangerous equipment, or frequent exposure to hazardous materials. Alternatively, the work area may be subject to environmental discomfort such as poor ventilation. Loud noises, and/or extremes of heat or cold. The work often requires wearing protective gear that may be uncomfortable. The nature of the work environment may produce moderate levels of stress.

Factor 7: Physical Demands

Level 4.0 - 150 Points: Work requires considerable and strenuous physical exertion such as climbing ladders, frequent lifting of objects over 50 pounds, crawling or crouching in restricted areas. Occasional lifting of heavy objects weighing 75 pounds or more is required.

Factor 8: Responsibility for Facilities and Resources

Level 2.0 - 40 Points: Jobs at this level might require frequent but routine responsibility for facility security, public safety, equipment, or money.

Factor 9: Complexity

Level 3.0 - 450 Points: The work includes various duties involving different and unrelated processes and methods. Decisions regarding what needs to be done depend upon knowledge of the duties, priorities, commitments, policies, and program goals of the supervisor and the department and involve the analysis of the subject, phase, or issues involved in each project or assignment, and the course of action may have to be selected from many alternatives. The work involves elements that must be identified and analyzed to discern interrelationships.
