GENERAL FUNCTION

The Community Relations Coordinator - West Plains works collaboratively with the designated West Plains representative to develop and implement programs and events that inform and engage the Missouri University-West Plains (MSU-WP) campus and community.

This position collaborates with the Division for University Advancement and MSU-WP campus partners in achieving campus goals. Assists the Director or other supervisor with the department’s administrative activities and coordinates various administrative processes and projects. This position provides the full range of administrative support activities for a department and generally has responsibility for several established and ongoing complex and/or difficult processes unique to the department in addition to general administrative support for the department. This position will also serve as building coordinator of the Richards House.

MINIMUM ACCEPTABLE QUALIFICATIONS

Education:  An Associate’s degree is required. A Bachelor’s degree is preferred. An equivalent combination of years of experience and education may be considered for substitution of educational requirements. Experience: At least one year of experience organizing and coordinating events, such as arts events, university events, festivals, workshops, public relations activities, and fundraising initiatives.

Skills: Exceptional interpersonal and effective oral and written communication skills are required. Must have strong decision-making skills, the ability to prioritize tasks, and ability to schedule and meet deadlines. work independently Computer proficiency, particularly in use of word processing, and an understanding of public relations and customer service practices and principles are required.

Effort: Must be able to lift and carry materials weighing five to twenty-five pounds.

Other: Must have a valid driver’s license. Must be able to travel out of town occasionally to assist with events. Willing to work flexible hours including evenings and weekends at events.

ESSENTIAL DUTIES AND RESPONSIBILITIES

1. Ensure good community relations by developing, implementing, and supervising fundraising events, donor recognition events, and donor, friends and alumni programs and campaigns to meet short- and long-range goals and objectives in engagement and development for the West Plains campus and service area.

2. Recruit, train, coordinate and supervise volunteers for various scheduled fundraising events and programs.

3. Under the direction of the Executive Director of University Advancement Relations, assists with the production of communications sent to external constituents as needed.

4. Helps the department to achieve its mission by coordinating contract and agreement and application processes associated with work specific to the department.

5. Collects and deposits fees and generates billing for departmental products and services.

6. Develops and maintains department database records.

7. Serve as building coordinator of the MSU-WP University Advancement Richards House.

8. Supports the general administrative business functions of the department.

9. Participates as a fully productive member of the professional staff by adhering to all university policies and procedures and the internal policies and procedures of the Division for University Advancement.

10. Promotes a positive image on campus and within the community.

11. Remains competent and current through self-directed professional reading, developing professional contacts with colleagues, attending professional development courses, and attending training and/or courses as directed by the Executive Director of Engagement and Alumni Relations.

12. Contributes to the success of University Advancement and MSU-WP by performing all other duties and responsibilities as assigned.

The Community Relations Coordinator – West Plains supervises volunteers for various fundraising events and programs.

Factor 1: Professional Knowledge, Skill, and Technical Mastery

Factor 2: Supervisory Responsibility

Level 1.0 - 50 Points: Typically, little, if any, supervision of others is required. The job may require irregular but occasional responsibility to direct the work of student workers and/or temporary or part-time workers. The nature of supervision is largely confined to assigning tasks to others and does not include a full range of supervisory responsibilities. The amount of time spent on directing the work of others is normally a small portion of total work time.

Factor 3: Interactions with Others

Level 2.0 - 100 Points: Interactions are generally routine and structured involving employees inside the University, students, or the general public. The purpose may include obtaining or clarifying facts, coordinating work, solving recurring problems, or providing factual information to others. Contacts may be with coworkers or structured exchanges with students, faculty, or the general public, and are generally for the purpose of exchanging information.

Factor 4: Job Controls and Guidelines

Level 3.0 - 500 Points: The employee operates under general supervision expressed in terms of program goals and objectives, priorities, and deadlines. Administrative supervision is given through statements of overall program or project objectives and available resources. Administrative guidelines are relatively comprehensive and the employee need only to fill in gaps in interpretation and adapt established methods to perform recurring activities. In unforeseen situations, the employee must interpret inadequate or incomplete guidelines, develop plans, and initiate new methods to complete assignments based on those interpretations. Assignments are normally related in function, but the work requires many different processes and methods applied to an established administrative or professional field. Problems are typically the result of unusual circumstances, variations in approach, or incomplete or conflicting data. The employee must interpret and refine methods to complete assignments. Characteristic jobs at this level may involve directing single-purpose programs or performing complex, but precedented, technical or professional work.

Work activities are complex and others rely on the accuracy and reliability of the information, analysis, or advice to make decisions. Work activities have a direct, but shared, impact on further processes or services, affect the overall efficiency and image of the department, and may have material impact on costs or service quality within the cost center. Incumbents may be responsible for identifying areas of need and for developing proposals that request funding to fulfill those needs.
