GENERAL FUNCTION

The Special Event Coordinator and Marketing Assistant manages and maintains the College of Business’ (COB) social media communication and website, creates and manages content for COB digital displays, assists and helps coordinate on- and off-campus student recruitment, creates promotional videos, writes for COB publications, and plans and coordinates special events.

MINIMUM ACCEPTABLE QUALIFICATIONS

Education: A Bachelor’s degree in marketing, public relations, communication or a related field is required.

Experience: At least one year of experience in marketing, special events, university events, public relations, or communication. Experience with using social media as a communication tool is preferred.

Skills: Exceptional interpersonal communication skills are required; exceptional verbal and written communication skills are required. Knowledge and expertise with new marketing communications tools, including the use of social media, is required. Knowledge and expertise to capture, edit, and produce short promotional video-content, is required. Strong decision-making skills, the ability to prioritize tasks, and the ability to leverage and manage resources, both internal and external, are required. The ability to balance multiple priorities and meet tight deadlines is required. Proven project management skills and the ability to responsibly manage a budget are required. Must have a working knowledge of various computer software applications, including word processing and database applications.

Effort:  This position transports, moves, lifts, rolls, and sets up recruitment and display material weighing up to 35 pounds unassisted.

Other: Must be available to attend events during evenings and weekends; and out-of-town, overnight travel is occasionally required.

License:  A valid driver’s license is required.

ESSENTIAL DUTIES AND RESPONSIBILITIES

1. Works with the Director, Marketing, Strategic Communications and External Relations in all areas related to marketing, student recruitment, external relations, and communication for the college. Provides direction to graduate assistants and student graphic designers.

2. Manages and maintains all COB social media accounts, including, but not limited to, Facebook, X, LinkedIn, Instagram, YouTube, and Hootsuite.

3. Creates and manages content for COB digital displays, including the video wall. Provides training and support for other COB units responsible for creating and managing department/school/program level digital displays.

4. Captures, edits, and produces promotional videos.

5. Writes and assists with proofing for COB publications such as Inside COB, COB Connection, COB print publications, and other marketing and alumni communications.

6. Coordinates and executes all COB special events, including but not limited to, the COB Career Fairs, Employer of the Day Program, COB Scholarship Banquet, COB Spring Awards Dinner, COB events held in conjunction with Missouri State Welcome Weekend, Missouri State Family Weekend and Homecoming. Organizes and coordinates COB faculty and staff participation in key student recruitment events, including but not limited to, MSU Showcases, Summer Visit Days, Admitted Student Days, SOAR, Transfer VIP Days, and both FBLA and DECA Regional and State Conferences. For these and other events sponsored by COB, responsible for organizing all logistical and physical needs for the events, such as, identifying and contracting venues, catering, equipment, managing attendee invitations and responses, and coordinating with appropriate COB offices and individuals.

7. Coordinates and executes all COB special events by planning and organizing all programming needs for the events such as management of event materials, schedules and timelines, scripts, publicity and promotions, and securing speakers, hosts, or emcees.

8. Executes all COB special events with on-set event management by serving as team leader for on-site event management, coordinating volunteers, and assuring all logistical and programming needs are satisfactory from start to finish for each event.

9. Manages the COB special events budget and coordinates with other COB budgets as needed by communicating with appropriate COB offices and individuals.

10. Coordinates and manages the COB master calendar of events to make sure that events at the college and departmental level are not overlapping.

11. Provides assistance to COB departments as needed for the coordination of special events.

12. Represents COB at local, state, regional and national College Fairs and other events to recruit prospective undergraduate and graduate students.

13. Manages and maintains COB webpages and assists departments with departmental pages as necessary.

14. Promotes a positive image of the College and the University on campus and within the community.

15. Remains competent and current through self-directed professional reading, developing professional contacts with colleagues, attending professional development courses, and attending training and/or courses required.

16. Supports the College of Business by performing all other duties as assigned.

The Special Event Coordinator and Marketing Assistant is supervised by the Director, Marketing, Communications and External Relations of the College of Business.

Factor 1: Professional Knowledge, Skill, and Technical Mastery

Level 2.0 - 900 Points: Entry-level professional knowledge of the principles, concepts, practices, and methods of non-technical administrative and managerial functions. Factor 2: Supervisory Responsibility

Level 1.0 - 50 Points: Typically, little, if any, supervision of others is required. The job may require irregular but occasional responsibility to direct the work of student workers and/or temporary or part-time workers. The nature of supervision is largely confined to assigning tasks to others and does not include a full range of supervisory responsibilities. The amount of time spent on directing the work of others is normally a small portion of total work time.

Factor 3: Interactions with Others

Level 4.0 - 500 Points: Interactions with others are somewhat unstructured. The purpose may be to influence or motivate others, to obtain information, or to control situations and resolve problems. Interactions may be with individuals or groups of co-workers, students, or the general public, may be moderately unstructured, and may involve persons who hold differing goals and objectives. Individuals at this level often act as a liaison between groups with a focus on solving particular unstructured problems. Interactions at this level require considerable interpersonal skill and the ability to resolve conflict.

Factor 4: Job Controls and Guidelines

Level 2.0 - 250 Points: The employee carries out a group of procedures using the general methods and desired results indicated by the supervisor. Typically, standard operating procedures, handbooks, and/or reference manuals exist for most procedures, but the employee must select from the most appropriate of several guidelines and make minor adjustments to methods. Unforeseen situations are normally referred to others for resolution. Assignments are related in function and objective, but processes, procedures, or software varies from one assignment to another. Based on the assignment, the employee uses diverse, but conventional, methods, techniques, or approaches. Employees in jobs at this level may perform work that is moderately complex, but normally performed within a fairly narrow and specific functional area.

Level 3.0 - 850 Points: Work involves providing significant support services to others both within and outside of the department that substantially influences decision-making processes. Work activities are complex and others rely on the accuracy and reliability of the information, analysis, or advice to make decisions. Work activities have a direct, but shared, impact on further processes or services, affect the overall efficiency and image of the department, and may have material impact on costs or service quality within the cost center. Incumbents may be responsible for identifying areas of need and for developing proposals that request funding to fulfill those needs.
