GENERAL FUNCTION
The Training Specialist supports the execution of comprehensive training programs, ensuring their successful delivery and alignment with efactory department goals. This role coordinates day-to-day program operations which include logistics, participant management, reporting, and supervision of student staff. The Training Specialist works closely with the Assistant Director, Training & Development and the Training Coordinator & Director, Public Safety Training Center to support the training function for the efactory, Missouri SBDC and Public Safety Training Center. This position works closely with other team members in the department, MSU colleagues, external stakeholders, instructors, and training participants to provide an exceptional training experience.
MINIMUM ACCEPTABLE QUALIFICATIONS
Education: A bachelor’s degree in business administration, communications, project management, or a related field is required. An equivalent combination of years of experience and education may be considered for substitution of educational requirements.
Experience: At least two years of experience in training coordination, program development, or event management is preferred.
Skills: Experience with administrative tasks, basic accounting functions, and working with industry, such as education, business development or manufacturing is preferred. Excellent organizational skills and the ability to manage multiple projects. Heightened attention to detail and problem-solving skills to ensure seamless program delivery. Proficiency in office software (e.g., Microsoft Office, CRM systems, database entry/management, learning management, and online registration platforms.) Strong written and verbal communication skills for engaging with participants, facilitators, and stakeholders.
Effort: Occasionally required to lift and carry materials and equipment weighing up to 25 pounds.
Other: The scope of the job occasionally requires evening and weekend work. This position is grant and program funded and will last as long as funds to maintain the position allow.
ESSENTIAL DUTIES AND RESPONSIBILITIES
1. Coordinates, supports and collaborates with internal teams and external partners to organize and manage custom and public training sessions, ensuring alignment with organizational needs. Assists with managing course materials to ensure effective delivery and development of participant materials and programming.
2. Maintains a positive and professional image of the training programs by fostering relationships with internal departments, participants, and external organizations.
3. Assists in the planning and development of training content by gathering feedback, evaluating program outcomes, and recommending improvements.
4. Coordinates and serves as the on-site and/or virtual coordinator during training sessions to support logistics for participants and facilitators, ensuring smooth program delivery, with department’s technology support.
5. Responds to participant and potential customer inquiries and provides support.
6. Maintains training records, updates databases, and prepares reports on program attendance, outcomes, and participant demographics.
7. Assists with financial administrative support of training programs through invoicing, payment processing, and recording.
8. Supports compliance with professional accreditation standards and assists with maintaining certification requirements, including managing records for Continuing Education Units (CEUs).
9. Remains competent and current through self-directed professional reading, developing professional contacts with colleagues, attending professional development courses, and attending training and/or courses as directed by the supervisor.
10. Contributes to the overall success of the Division of Community and Global Partnerships by performing all other duties as assigned.
SUPERVISION
The Training Specialist supervises regular, part-time staff and/or student employees.
