GENERAL FUNCTION

The Theatre and Events Coordinator is responsible for coordinating the logistical and physical aspects of all performing arts, visual arts, and lecture events presented for the West Plains community under the auspices of Missouri State University-West Plains in the West Plains Civic Center. The Coordinator utilizes extraordinary creativity in successfully implementing the West Plains Cultural Series and possesses budget authority for all such events. The Coordinator is responsible for identifying community interests, researching and identifying potential program offerings, and coordinating with appropriate academic and administrative activities on the Springfield Campus, other universities, commercial agents, and the appropriate West Plains agencies for the presentation of a variety of entertainment, art, and lecture events of cultural value in the West Plains Civic Center annually. Additionally, the Coordinator is responsible for developing a master calendar of events, coordinating the schedule with Missouri State University-West Plains and with the West Plains Civic Center, obtaining necessary sets, props, and support equipment, arranging for tickets, programs, publicity, and receptions, coordinating the appearance of performers, students, faculty, staff, guest artists/lecturers, etc., and assuring the availability of appropriate transportation, lodging, meals, etc. The Coordinator serves as an on-site liaison between the Missouri State University College of Arts and Letters, Missouri State University-West Plains, and the West Plains Civic Center for events available from the Springfield Campus that are presented as part of the West Plains Cultural Series.

MINIMUM ACCEPTABLE QUALIFICATIONS

Education: An Associate’s degree is required; a Bachelor’s degree is preferred.

Experience: With an Associate’s degree, at least five years of professional leadership experience in at least two of the following areas is required: university events, arts/theatre events, workshops, community festivals, public relations, or fund-raising initiatives. With a Bachelor’s degree, at least two years of professional leadership experience in at least two of the following areas is required: university events, arts/theatre events, workshops, community festivals, public relations, or fund-raising initiatives. Budget management experience is required.

Skills: Exceptional interpersonal communication skills are required. Exceptional oral and written communication skills are required. A working knowledge of various computer software applications, including word processing and database applications, is required. Strong decision-making skills are required. The ability to prioritize tasks and the ability to bring many varied tasks to completion by deadlines are required. The ability to work independently, the ability to quickly learn the administrative structure of the university and the procedures necessary to accomplish the job, and the ability to use initiative in meeting job responsibilities are required. The ability to develop knowledge of, respect for, and skills to engage with those of other cultures or backgrounds is required.

Other: The ability to travel between the Springfield and West Plains campuses, to many separate locations on the Springfield Campus, and within the West Plains community to coordinate physical arrangements for events. The ability to lift and carry objects weighing up to forty pounds is required. The ability to work evenings and weekends as needed to assure program success is required.

ESSENTIAL DUTIES AND RESPONSIBILITIES

1. Assures the orderly planning, coordination, and execution of a series of presentations open to the community through the West Plains Cultural Series by identifying West Plains community interests, researching and identifying potential program offerings available through the Missouri State University Springfield Campus by coordinating with appropriate faculty, department heads, and the Dean of the College of Arts and Letters, or with similar points of contact at other area universities or with commercial agents.

2. Works closely with the Director of University/Community Programs at Missouri State University-West Plains and with the Executive Director of the West Plains Civic Center to schedule an annual master calendar of events and to coordinate the delivery of a variety of performing arts, visual arts, and lecture programs desired by the West Plains community.

3. Services as an on-site liaison for theatre and events programming between the Missouri State University College of Arts and Letters on the Springfield Campus, Missouri State University-West Plains, and the West Plains Civic Center by meeting periodically with the Dean, department heads, and faculty of the College of Arts and Letters at the Springfield Campus to identify potential program offerings suitable for delivery as part of the West Plains Cultural Series.

4. Arranges for use of the theatre and auditorium facilities required for the successful program delivery of the West Plains Cultural Series in the West Plains Civic Center.

5. Contributes to the overall success of the annual West Plains Cultural Series by coordinating the appearance of performers, artists, lecturers, etc., assuring the availability of appropriate transportation, lodging, meals, etc., arranging for necessary sets, props, and technical support equipment from the Springfield Campus, Missouri State University-West Plains, or commercial sources, and arranging for invitations, guest lists, scheduling of space, flowers, food/beverages, etc., for community receptions associated with event performances in the West Plains Cultural Series.

6. Coordinates the printing and sale of tickets, information brochures, programs, posters, and other printing required for pre-event publicity and for the various West Plains Cultural Series performances and markets program events within the West Plains community.

7. Helps to assure funding for cultural events for the West Plains community by developing and executing an annual operating budget, writing grant applications to support various initiatives and events associated with the West Plains Cultural Series, and collaborating closely with the Director for Development at the Missouri State University-West Plains Campus to support initiatives leading to private gift monies to sustain and expand future West Plains Cultural Series offerings.

8. Contributes to a work environment that encourages knowledge of, respect for, and development of skills to engage with those of other cultures or backgrounds.

9. Remains competent and current through self-directed professional reading, developing professional contacts with colleagues, attending professional development courses, and attending training and/or courses required by the Director of University/Community Programs.

10. Contributes to the overall success of the West Plains Cultural Series by performing all other essential duties as assigned.

SUPERVISION

The Theatre and Events Coordinator-West Plains is supervised by the Director of University/Community Programs at Missouri State University-West Plains and consults frequently with the faculty and Dean of the Missouri State University, College of Arts and Letters, at the Springfield Campus to identify/coordinate available presentations.

Factor 2: Supervisory Responsibility

Level 1.0 - 50 Points: Typically, little, if any, supervision of others is required. The job may require irregular but occasional responsibility to direct the work of student workers and/or temporary or part-time workers. The nature of supervision is largely confined to assigning tasks to others and does not include a full range of supervisory responsibilities. The amount of time spent on directing the work of others is normally a small portion of total work time.
