GENERAL FUNCTION

The primary duty of the Associate Box Office Manager is to support the Box Office Manager in the management and supervision of the daily operation of the box offices at Great Southern Bank Arena (GSB), the Juanita K. Hammons Hall for the Performing Arts (JKHHPA), Hammons Student Center (HSC), Plaster Sports Complex (PSC), Craig Hall, Plaster Student Union, and events ticketed by Missouri State TIX. This position assists the Box Office Manager to prepare financial settlements with the artists and/or promoters in any of the Missouri State University athletic and entertainment venues. This position assists the Box Office Manager in maintaining accounting records for all cash received in the Missouri State TIX system through verification of daily cash reports and maintenance of accurate accounting documents and prepares box office financial reports and statements for Athletics and shows end of year closings.  This position assists in reviewing and verifying all cash received, verifying daily cash reports are turned in by the end of day, maintaining accurate bookkeeping documents, and ensuring the deposit of all ticket receipts.  The Associate Box Office Manager provides training and support to the Assistant Box Office Managers in how to select, train, schedule, and supervise the staff of student workers employed to staff the Box Office.  The Associate Box Office Manager engages with the ticketing software provider for software updates, show builds, and maintaining of the ticketing platform.

MINIMUM ACCEPTABLE QUALIFICATIONS

Education: A high school diploma or the equivalent is required.  A Bachelor’s degree is preferred. Completion of technical or specialized training or education in personal computers and the use of spreadsheet software products are preferred. An equivalent combination of years of experience and education may be considered for substitution of educational requirements.

Experience: At least four years experience is required in box office positions that required daily contact with the public and responsibility for cash management. Two years of supervisory experience is preferred.

Skills: Strong oral and written communication skills, supervisory skills, and excellent interpersonal skills, particularly in dealing with the public, are required. Computer literacy is required. 

Other: The scope of the job frequently requires attendance at evening and/or weekend activities, performances, lectures, and/or rehearsals.

ESSENTIAL DUTIES AND RESPONSIBILITIES

1. Works with the Missouri State TIX ticketing provider as well as independently to build shows in the ticketing system and works with artists and promoters to build scaling’s, pre-sales, and on-sales.

 2. Assists the Box Office Manager in preparing of various box office reports for all athletic teams that utilize the Missouri State TIX ticketing system and all other reports as needed by the athletic department for NCAA, league conference, grant reporting, etc.

 3. Assists the Box Office Manager in the preparing and closing of entertainment settlement accounts including but not limited to wire transfers, budget transfers, and sales tax reports.

4. Assists the Box Office Manager in the administration of the athletic and entertainment venues by coordinating the flow of all reports and documents which require the attention of the Executive Director, Athletic and Entertainment Facilities or the Box Office Manager.

5. Assists the Box Office Manager and staff in daily box office operations by supervising Box Office workers, assisting with ticketing and customer service, preparing the daily cash deposit for the box office(s) supervised, reconciling daily sales, updating and troubleshooting the computerized ticketing system, and scheduling and organizing staff for events at the assigned venues.

6. Helps to assure that ticket buyers receive good customer service and have a positive experience with the Box Office by training workers in customer service techniques, monitoring the performance of staff, complying with customer requests to the extent possible, and using discretion and independent judgment in solving problems quickly and to the satisfaction of the customer.

7. Facilitates ticket sales by maintaining and accurately preparing for the sale of tickets within the computerized ticketing system, charting by section, row, and seat number, indicating available seating for events and performances, and printing individual tickets.

8. Assists the Box Office Manager in the development of an effective and efficient box office staff by selecting qualified student workers, training them in box office operations and customer service, providing appropriate supervision, enforcing operational policies and procedures published in a box office operations manual, and evaluating work performance.

9. Safeguards ticket receipts by properly accounting for all cash received in the box office, verifying daily cash reports and maintaining accurate bookkeeping records regarding sales, and making deposits of ticket receipts appropriately.

10. Contributes to the marketing effort of the of GSB, JKHHPA, and HSC by assisting in the development of marketing and promotional activities which are cost efficient and increase revenues, recommending improved box office operational methods and procedures, preparing reports for marketing staff, assisting in mailing of seasonal brochures to season ticket holders, corporate and business sponsors, other constituencies and the general public.

11. Maintains competency and professional currency through self-directed professional reading, developing professional contacts with colleagues, attending professional development courses and attending training and/or courses required by the Box Office/Business Manager.

12. Contributes to the overall success of GSB, JKHHPA, and HSC by performing all other essential duties and responsibilities as assigned.

SUPERVISION

The Associate Box Office Manager is supervised by the Box Office Manager, and supervises other box office full time staff, including student workers, and makes recommendations which are given particular weight regarding the hiring, firing, advancement, promotion, and other changes of status of those supervised.

Factor 2: Supervisory Responsibility

Level 3.0 - 270 Points: Supervision of a limited number of (a) operative, administrative support, or paraprofessional employees who do not exercise a full range of supervisory responsibilities over other full-time employees, (b) a very small number of professional employees, or an equivalent combination of (a) and (b). The incumbent performs a full range of supervisory responsibilities including performance reviews of subordinates. The incumbent is generally responsible for training, planning, and directing the work of permanent employees, and provides major input into hiring decisions. Supervisory responsibilities consume moderate amounts of work time and may include general work planning tasks.
