GENERAL FUNCTION
The Associate Director of Facilities Management assists the Director in all aspects of operations by providing leadership within the department and serves as an extension of the Director of Facilities Management. The position oversees one or more of the major divisions of Facilities Management, such as facility maintenance, grounds, in-house construction, custodial services, and business services. The position ensures compliance with health, life safety, and building codes, recommends priorities for needed repairs and renovations, assists in the management and development of departmental budgets, guides personnel-related issues and staff development in conjunction with appropriate supervisors and Human Resources.
MINIMUM ACCEPTABLE QUALIFICATIONS
Education: A bachelor's degree in Management, Business Administration, Public Administration, Technology and Construction Management, Engineering, Architecture, or a related field is required. A master’s degree is preferred. An equivalent combination of years of experience and education may be considered for substitution of educational requirements.
Experience: At least five years of experience in the planning, organizing, leading, and the responsibility for the maintenance of, facilities and equipment is required; experience must include at least two years of supervision. Experience in physical plant, facilities management, supervision or administration at an educational institution is preferred.
Skills: Leadership, management and administrative skills, particularly the ability to develop and manage budgets, as well as analyze, organize, plan, and delegate are required. Demonstrated skills in problem-solving, decision-making, and conflict resolution are required. Knowledge of the principles and methods of personnel administration is required. Exceptional customer service and interpersonal skills as well as strong verbal and written communication skills are required. Computer literacy is required. Supervisory skills, particularly the ability to instruct and motivate others, are required. The ability to develop knowledge of, respect for, and skills to engage with those of other cultures or backgrounds is required.
Effort: This position is required to move throughout the campus, including using stairways in all University buildings and stairs and/or ladders on construction sites.
Other: The job requires responding to emergencies or other unforeseen situations around-the-clock and may require working evenings and weekends to fulfill job functions. This position is designated as an essential employee and may be required to report to work as scheduled when University offices are closed due to severe weather or emergencies.
ESSENTIAL DUTIES AND RESPONSIBILITIES
1. Assists in ensuring the University’s physical resources are maintained in a manner consistent with the University’s mission and the expectations of the campus community.2. Assists in ensuring the success of the Department by leading teams, committees, and work groups in the development of goals, objectives, and plans for departmental operating units and special projects, and evaluating progress toward their achievement.
3. Focuses on customer needs and customer satisfaction, projects a positive customer service environment to both internal and external customers and promotes and encourages an attitude of exemplary customer service and high integrity to all the staff within Facilities Management.
4. Oversees the departmental budgets and works with assistant directors, managers, coordinators and others as they administer their budgets; provides budget recommendations to the director.
5. Oversees the departmental hiring processes and works closely with the Office of Human Resources and the Office of Equity and Compliance to ensure legal and effective searches are conducted.
6. Manages the Work Management Center by coordinating the timely and appropriate response by the departmental operating units to requests for both emergency and routine work orders and ensuring the Work Management Center achieves and maintains a high level of customer service.
7. Oversees the Property Control unit to ensure the accurate and effective tracking of university-wide assets, the purchase and tracking of Facility Management supply inventories, and the proper disposal of university property.
8. Oversees the Construction unit to ensure it meets the needs of the university and internal customer expectations while operating efficiently and within budget.
9. Contributes to a work environment that encourages knowledge of, respect for, and development of skills to engage with those of other cultures or backgrounds.
10. Remains competent and current through self-directed professional reading, developing professional contacts with colleagues, attending professional development courses, and attending training and/or courses as directed by the Director, Facilities Management.
11. Contributes to the overall success of Facilities Management by performing all other duties and responsibilities as assigned.
SUPERVISION
The Associate Director of Facilities Management directly supervises assistant directors, managers, coordinators, administrative and other staff within the Office of Facilities Management, as assigned.
